The Gideons International in Australia (TGIA) is seeking a highly motivated Executive Assistant (EA) to provide high level administrative and organisational support to the National Executive Director (NED). The role also provides support to the National Cabinet and Management Team and the coordination of operations for the National Office to ensure that ministry goals and objectives are accomplished, and operations run efficiently.

We are looking for someone with proven people and administration experience to provide efficient and skilled support; a person with a ‘can do’ attitude and a high level of maturity, confidentiality, and professionalism. A confident, self-directed person who enjoys taking responsibility for the work they do, anticipating the needs of the team, and connecting kindly with the many TGIA members across Australia.

For the right candidate we would consider school hours or other negotiated flexible arrangements. There may be requirements to work outside of normal office hours, but these would be negotiated by mutual agreement.

The Business

TGIA is an Association of Christian business and professional men and their wives dedicated to telling people about Jesus through associating together for service, sharing personal testimony, and by providing Bibles and New Testaments. While we are often recognised for our work with hotels, we also place and distribute Scriptures in strategic locations so they are available to those who want them, as well as to those who may not know they need them. We aspire to be an extension of the mission of the local church.

Key responsibilities

  • Provide high level executive support to the NED including but not limited to:
    • Diary Management
    • Organisation of meetings including preparation of agenda, completion of professional minutes and collation of papers
    • Preparation of documents for the NED
    • Preparation and distribution of correspondence
  • Support communication between the NED, National Cabinet and Management Team, and liaise with same on various projects and tasks. Plan and orchestrate work to ensure priorities are met, organisational goals are achieved, and best practices are upheld.
  • Development of National Cabinet materials, including secretarial services – production and despatch of agenda, meeting papers, venue catering, travel bookings and accommodation.
  • Executive support to TGIA Management Team including meeting preparation, preparation of agenda, collation of papers and minutes. Maintain and refine internal processes that support the Management Team, coordinating internal and external resources to expedite workflow including secretarial services to and facilitation of some TGIA sub-committees.
  • Policy updates and reviews completed for the National Cabinet and TGIA Management Team.
  • Development of documents and manuals for corporate use and ensure a consistent standard.
  • Responsibility for the management of the National Office operations.
  • Assist with the coordination of TGIA events such as National and State Conventions including special projects, correspondence and booking flights and accommodation.
  • Liaise with International Headquarters staff as required.

Essential Criteria

  • Actively involved in the life of an evangelical church
  • Sound knowledge of Microsoft Office
  • Administration skills and/or experience
  • Professional phone manner
  • Time management skills and the ability to prioritise work
  • Strong communication skills with ability to listen, respond and build rapport across diverse groups
  • Ability to work within a team and on their own
  • Reliable and dependable

About you

  • Committed Christian
  • Minimum 2+ years of experience as an Executive Assistant reporting directly to senior management
  • Strong written and verbal communication skills
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Ability to keep company confidences
  • Friendly and professional demeanour

An understanding of Christian NFP environment and voluntary ministry would be an advantage. Where specific skills, qualifications or experience are lacking, an expression of willingness and desire to grow in those areas will be essential.

Salary will be commensurate with your experience. The successful applicant can begin work immediately.

Qualifications, Experience and Knowledge

  • Experience in similar roles in an Administration or other key office roles, ideally within a Christian NFP
  • Excellent telephone and verbal interpersonal communications skills
  • Strong written communications skills
  • Meticulous attention to detail
  • Computer literacy skills across the Microsoft Office Suite - with capability or willingness to learn - other related business and communication tools
  • Member and Donor database skills – to add, amend and access information
  • Ability to work autonomously and to exercise discretion, and a high level of confidentiality
  • Ability to multi-task and prioritise to ensure successful completion of all responsibilities and tasks
  • Ability and commitment to working in a team-based environment as part of a team
  • High integrity and a commitment to TGIA mission and statement of commitments
  • Heart for people and the work and mission of TGIA
