GENERAL MANAGER – VICTORIAN CHURCHES FOOTBALL ASSOCIATION

BACKGROUND

The VCFA operates the largest independent soccer league in Victoria. The operations of the VCFA are primarily administrating Saturday soccer competitions across greater Melbourne from April - September.

The VCFA operates as a member-based association and its management is overseen by a dedicated board of volunteers. The board is looking to engage a contractor to manage the day-to-day operations of the association with a particular focus on administration, communications and finance.

The role is a contracting position with highly flexible working arrangements. With the exception of events management and board meetings, most of the role will be performed remotely on your own schedule. The hours of this role vary, with the majority of the workload falling between March - September and requiring 20-40 hours per week (with the peak workload in March and September).


REQUIRED SKILLS

The successful applicant will have excellent communication skills and a passion for community sport. They will need to be self-directed, highly organised and have strong time management skills. They will have a demonstrated ability to implement plans and achieve outcomes independently.

A strong understanding of compliance and board reporting is desirable.

Experience with basic accounting systems (such as MYOB or Xero) is desirable.


KEY ACCOUNTABILITIES

The successful applicant must be aligned with the goals and values of the Association and will be expected to work alongside the Board and administration team by assisting with various aspects of Association management. This includes but is not limited to:

Club Communications and Liaison – ensure that club communications are promptly responded to. Filters all communications from clubs before reaching the VCFA Board, resolving minor matters quickly. Maintains lists of communications to clubs, referees and VCFA Board members. Ensure that clubs are engaged early and quickly to ensure bad weather weekends are addressed. Ensure the VCFA Website is up to date with relevant documents and current information as required.

Event Management – Ensure that annual VCFA Events, such as the AGM and Presentation night are well organised and run smoothly by organising all relevant suppliers and engaging with VCFA Board members and clubs for input and contribution.

Support in the Running of other VCFA Events including Pre-season competition; Cup Competition and Finals; Coaches Course; Referees Course; Veterans Gala events; Presidents Dinners.

Co-ordination of Board Services – Work with the VCFA Secretary to plan a calendar of board meetings, prepare documentation for each board meeting and distribute to board members. Ensure follow up actions are executed between VCFA Board Meetings.

Tribunal Management – Work with the VCFA Tribunal Chairman to ensure that VCFA Tribunals are held promptly and that VCFA policy for tribunal process and tribunal member selection is adhered to. Communicate outcomes to clubs in a timely fashion.

Child Protection Regulation – Support the VCFA Board and Child Protection Officers to maintain regulatory and best practice child protection compliance throughout the organisation.

Financials – Work with the VCFA Treasurer to ensure clubs are invoiced periodically throughout the season and that financial reports are produced each period. Manage debtor list and assist with preparation of annual financials for audit. Partner with the VCFA Referee Coordinator to ensure referees are paid periodically throughout the season. Ensure suppliers are paid on time.

Fixtures and Match Day Reporting – Work with the VCFA Board and VCFA Match Secretary, to ensure that season fixtures for league and cup formats is organised and communicated to clubs promptly at the beginning of the season. Work with the VCFA Referee Coordinator to ensure that match day reporting from referees is captured through VCFA systems and processes. Ensure collection of data for all annual rewards and competitions is being collected accurately and periodically reviewed.

Nationals Planning and Coordination – Ensure the planning and coordination of the touring squad for that Nationals tournament is fulfilled by organising selection of coaches, players and organising logistics for the touring party; maintaining Nationals documents, updating processes and systems for smoother operation and more meaningful experiences during trials, training and events.

Nationals Hosting - support the Host Team in planning, coordinating and executing a Nationals Tournament event in Melbourne in 2023 and 2024.

Insurance preparation and communications - researching and implementing annual insurance coverage and liaising with insurance companies for best practice.

Marketing and Promotions - including ongoing website maintenance; ongoing social media maintenance, content and communications; creating relevant marketing strategies and content; sourcing appropriate promotional avenues. Coordinating filming of games and for marketing purposes; Monthly Bulletin information for clubs.

Grant research and applications - resourcing and completing grant applications and financial support systems such as stimulus packages for the Association, Clubs and Players and completing applications within the applicable timeframe.

Implementation of new initiatives - updating and maintaining processes; ongoing renewal of documentation and keeping inventory of VCFA holdings.

Liaison and communication with key stakeholders – stakeholders include Christian Football Federation Australia; VCFA Life Members; KonQa; local Councils; Hope Australia Soccer Academy; Australian Charities and Not-for-profits Commission; other Footballing corporations such as Football Victoria.
