General Information 

Position Title Administrative Officer
Reports to CEO, Faith Values / Project Director, Religions and Worldviews Education
Location Flexible — combination of home office and co-working spaces across Melbourne
Employment type Paid position, part-time (2 days of work across 3–4 days per week, approx. 4–5 hours per day), 6-month contract with potential for extension
Salary $70,000 FTE (pro rata) 

A note on flexibility

This role is designed with flexibility in mind. The 2 days of work can be spread across 3 to 4 days per week at approximately 4–5 hours per day — making it well-suited to a candidate seeking meaningful part-time work that fits around family or other commitments. 

About Faith Values

Faith Values (FV) is a Melbourne-based Christian not-for-profit working with multifaith communities to help educators engage students with diverse worldviews, beliefs and religions — strengthening community connection and social cohesion through informed, respectful dialogue.

Position Purpose

The Administrative Officer is the operational backbone of Faith Values — keeping the organisation's internal systems, communications, and project tracking running smoothly so that the CEO and Schools and Education Engagement Lead can focus on external-facing work. 

This role combines executive support to the CEO, coordination of internal operations, and responsibility for project tracking and reporting — playing a quiet but essential role in the delivery of the RWE pilot program. 

Key Responsibilities

Executive and Administrative Support

  • Manage the CEO's calendar, inbox, appointments and travel arrangements
  • Prepare, proofread and format documents, communications, reports and presentations
  • Coordinate internal and external meetings — including agendas, minutes and follow-up actions
  • Handle incoming correspondence and ensure timely, professional responses
  • Maintain digital filing systems and organisational records 

Project Tracking and Reporting

  • Maintain the RWE pilot program tracker — monitoring milestones, deadlines, outstanding actions, and risks
  • Prepare regular project status updates and progress reports for the CEO, board, and partners
  • Support the compilation of data, feedback, and evidence for evaluation and grant reporting purposes
  • Liaise with the Schools and Education Engagement Lead to ensure project information is current and well-documented 

Operational Systems and Communications

  • Maintain and improve internal operational systems, tools, and processes
  • Support stakeholder communications including newsletters, partner updates, and donor correspondence
  • Assist with logistics for events, workshops, and briefings as required
  • Monitor and manage shared inboxes and communication channels

  • Work collaboratively with the CEO and School Engagement Lead to keep operations running smoothly
  • Take initiative and manage workload independently within a flexible schedule
  • Maintain confidentiality and handle sensitive information with discretion
  • Communicate proactively about workload, priorities, and any issues that may affect delivery 

Selection Criteria

Essential

  • Demonstrated Christian character and alignment with the mission of Faith Values
  • Experience in executive assistance, administration, or operations support (minimum 1–2 years)
  • Strong organisational skills and high attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital file management
  • Clear written and verbal communication skills
  • Ability to manage competing priorities and meet deadlines reliably
  • Comfortable working with project tracking tools or willing to learn
  • Current Working with Children Check (Employee) or willingness to obtain prior to commencement
  • Legal right to work in Australia 

Desirable

  • Experience in a not-for-profit, faith-based, or education environment
  • Familiarity with project tracking or CRM tools (e.g. Monday.com)
  • Experience supporting grant reporting or program evaluation processes
  • Event coordination or logistics experience
